1. Data Controller

2. Personal Data We May Process

Depending on how you contact or interact with IEF, we may process:

  • name and contact information;
  • organisation, professional role or area of interest;
  • messages, enquiries and correspondence;
  • event, workshop or cooperation information you voluntarily provide;
  • technical information necessary for website security and operation;
  • website usage information through Google Analytics 4 when you have consented to Analytics;
  • cookie and privacy preferences stored in your browser.

Please do not send sensitive personal data unless it is necessary and specifically requested.

3. Purposes and Legal Bases

Personal data may be processed to:

  • respond to enquiries and communicate with you;
  • plan education, events, cooperation and community activities;
  • manage relationships with volunteers, advisors, partners and service providers;
  • maintain website security and remember privacy choices;
  • measure and understand website usage through Google Analytics 4 when you have given consent;
  • comply with legal obligations and protect legitimate interests.

Depending on the situation, processing may be based on consent, steps requested before an agreement, performance of an agreement, legal obligations or IEF’s legitimate interests.

4. Sources of Data

We generally receive personal data directly from you, for example when you send an email, use a contact form, attend an activity or communicate with IEF. We may also receive business contact details from publicly available professional sources or cooperation partners where appropriate.

5. Recipients and Service Providers

Data may be accessed by authorised IEF representatives and service providers who support hosting, communications, forms, event administration, analytics or technical operations. Access is limited to what is necessary for the relevant purpose.

If you consent to Analytics, Google Analytics 4 is used as an analytics service. Google may process analytics data in accordance with its applicable privacy and data-protection terms.

The external contact form currently used by IEF is technically hosted by Hyper ICT Oy. Relevant form and hosting providers may process information on behalf of IEF or under their own applicable terms.

6. International Transfers

IEF aims to use services located in Finland or the European Economic Area. If a service requires personal data to be transferred outside the EEA, an appropriate transfer mechanism and safeguards will be used where required.

7. Retention

Personal data is kept only as long as necessary for the purpose for which it was collected, to maintain appropriate records, resolve enquiries, fulfil agreements or comply with legal obligations. Retention periods may differ depending on the type of communication or activity.

8. Your Data Protection Rights

Subject to applicable law, you may have the right to:

  • request access to your personal data;
  • request correction of inaccurate data;
  • request deletion or restriction of processing;
  • object to certain processing;
  • withdraw consent where processing is based on consent;
  • receive applicable data in a portable format;
  • lodge a complaint with the Finnish Data Protection Ombudsman.

9. Security

IEF uses reasonable organisational and technical measures to protect personal data. No internet-based service can guarantee absolute security, but access should be limited and data minimised according to the purpose.

10. Children and Young Learners

IEF may develop educational activities for children and young learners. Where personal data relating to a child is required, information will be provided in an age-appropriate way and consent or authorisation will be obtained where required.

11. Changes and Contact

This Privacy Policy may be updated when services, activities or legal requirements change. The latest revision date appears at the top of the page.
